Privacy

When you send an enquiry through this site: your name, your business name, your email address and what you need help with. You may also provide a phone number, website address and a message. Older enquiries may include business category, service area or enquiry volume supplied on an earlier version of the form.

Alongside that we record which page the enquiry came from, the address that referred you to the site, and any campaign parameters carried in the link you followed, including utm_source, utm_medium, utm_campaign, utm_term and utm_content. This is how we tell which channel an enquiry came from.

Our hosting provider keeps ordinary server logs, which include IP addresses, for a short period. We do not use those logs to build a profile of you.

We use Vercel Web Analytics to count visits to pages on this site: which page was viewed, the address that referred you, and the broad type of browser, device and country your request came from. Vercel states that it does this without cookies. We use it to see which pages people read, not to identify anyone.

We run no advertising pixel and no session recording. There are no tracking cookies, and nothing you can browse sets a cookie: not the home page, not the enquiry form, not the sign-in page. Cookies exist only once somebody signs in: one session cookie for a customer with a Calynt account, and one for our own staff area. Both are strictly for staying signed in, and neither follows anyone around the internet.

The typefaces are served from this site rather than from a font network, so no request about you leaves for one.

To reply to your enquiry and to carry out any work that follows from it. We do not sell it, we do not share it for anyone else’s marketing, and we do not add you to a mailing list.

These companies process information on our instructions: Supabase stores the database and, for customers with an account, holds the sign-in identity; Resend delivers and receives email, including sign-in links; and Vercel hosts the site and provides the page analytics described above. Each handles it under its own terms and its own retention periods.

Where a business that uses Calynt connects its own Gmail account, Google gives us read-only access to that mailbox so we can find the enquiries and customer correspondence in it. The business can have it disconnected at any time, which also withdraws our access at Google.

Where a business that uses Calynt switches it on, three more companies may be involved in handling that business’s enquiries. An AI provider (OpenAI or Anthropic, whichever Calynt is configured to use) receives the customer’s name, their enquiry and their later messages, so it can sort the enquiry, read it into the business’s own questions and draft a reply; a person at the business approves every drafted reply before it is sent. Google Calendar is involved when the business connects it so visits can be booked, and Stripe when the business takes payments through Calynt.

When something in Calynt’s own software fails, Sentry receives a report of where it failed so we can fix it. We set it up to collect as little as possible: reports leave out request contents, cookies, headers and account details, and email addresses and phone numbers are masked. An error message can still contain other details, such as a name, so we do not claim every report is free of personal information.

Nothing else receives your details.

We also host estimate forms on behalf of contractors who are our customers. If you are a homeowner who filled one in, the contractor whose form you used decides what happens to your enquiry. We store and deliver it on their instructions. Ask them, or write to us and we will put you in touch.

Where such a form asks whether you are happy to be sent text messages, we record your answer and the exact wording you were shown, so that what you agreed to is a matter of record rather than of memory.

Customers of ours sign in to see their own enquiries. For that we hold your email address, which company or companies you belong to, your role in each and whether that access is active or withdrawn. We record nothing else about you, and we do not track what you look at once you are signed in.

There is no password. Signing in means asking us to email you a link, so the thing that proves who you are is control of your own mailbox. We never hold a password for you, so there is none to leak, reset or reuse. Supabase issues the sign-in link and the session behind it, Resend delivers the email, and we hold a session cookie your browser cannot read from a script.

What you can see is decided by the database rather than by the page you are sent to. Your account is attached to a company, and the database returns that company’s enquiries and no one else’s. Typing a different company into an address changes nothing. If we withdraw or suspend that attachment, access stops at the same moment.

We keep the account while you are a customer. Ask us to close it and we will delete it, along with the record of which companies it could see. The enquiries themselves belong to the business they were sent to, and are dealt with under the rest of this policy.

For as long as we are in contact about the work, and for a reasonable period afterwards for our own records. Ask us to delete your enquiry and we will.

The database is not reachable from a browser and is written to only by this site’s server. Enquiries travel over an encrypted connection, and access to the staff area is restricted. For customers with an account, the separation between one company’s enquiries and another’s is enforced by the database itself rather than by the application asking politely, and it is tested against real accounts rather than assumed.

No system is perfectly secure and we will not claim otherwise. If information we hold about you were ever exposed, we would tell you.

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Write to hello@calyntsystems.com and we will act on it. You do not need to give a reason and we will not charge you.

This site is for business owners. We do not knowingly collect information from anyone under 16, and we have no reason to.
